How to track income from sources other than services (e.g. consumables and stock)

You can track income from multiple sources - like consumables and stock - by customising how line items appear on your invoices. This helps you organise and analyse different types of income to suit your business needs.

Bookem allows you to create custom line item columns that group charges into categories such as services, consumables or stock. You can also control which of these categories are visible to clients.

Add a custom line item column for type

To create a column that categorises your income sources:

  1. Go to Settings > Payments & invoicing

  2. Click on the Line items tab

  3. Click Edit columns at the top of the screen

  4. Click Add column

  5. Choose Dropdown as the field type

  6. Name the column Type (or use another label like Category if you prefer)

  7. Set the list source to Options list

Note: Only add this column if it doesn’t already exist. If you already have a Type column, skip to the next step.

  1. Add category options like:

    - Consumables (e.g. taping, dry needles, massage oil)

    - Procedure (for services)

    - Stock (e.g. foam rollers, braces, resistance bands)

  2. Click Show more to toggle visibility and requirement settings for each column

    - You can choose whether clients see these columns on their invoices

    - You can also make a column required when creating invoices

Export invoice line items into a spreadsheet

Once your line items are categorised, you can export them into a spreadsheet for analysis:

  1. Go to Accounts > Invoices

  2. Click Export line items

  3. Enter the date range and status filters you'd like to export and click Download

Your spreadsheet will include a column with the Type field. From here you can:

  • Filter by type to review stock or consumables usage

  • Create a pivot table to calculate totals for each category
