Setting up availability for team members in Bookem

One of the first steps in setting up your business on Bookem is setting up your availability. This defines when clients can book appointments, and if done correctly, ensures that client bookings run smoothly. If you offer online bookings, available slots will appear on your booking page.

Here's how to set up your availability

Follow these steps:

1. In the main menu, go to Availability

2. Ensure you are on the correct location calendar as each location has its own calendar and may differ in time zones

3. Click on '+Availability' in the top left corner

4. From the 'Schedule type' drop down, choose 'Available'

5. Enter your availability start time in the 'From' field and end time in the 'Until' field

6. Select the 'Repeats every' checkbox and choose the recurrence frequency, if relevant

7. Select the resources/ team members that this availability interval applies to

NB: If availability is set up for a specific service linked to a team member, the team member must be specified rather than using 'any resource.'

8. Click 'Create' and 'Save'

Note: There's no need to set unavailable time as 'time off' as Bookem assumes it automatically

Here's an example of a use case

In our example, we're setting an availability interval to begin on the 18th January 09:30, and then end on the same day at 16:30.

We then repeat this interval weekly, on every weekday, every week, and set this recurrence to never end. The availability interval that we're repeating applies to all services for the business, as well as all team members that take bookings, i.e. resources.

In other words, this schedule will make everyone at this location available between 9:30 and 16:30 on weekdays.

If you'd like this interval to only apply to only one person/resource, change Any resource to that specific resource, for e.g., Applies to All services serviced by Dr Jack Jones

If you'd like this interval to apply to everyone except one person/resource OR perhaps a team member is not available for a particular service. + Add exception and specify the condition for the exception

In this example below, Dr Jack Jones and Dr Tami de Villiers do not take video consultations during these particular hours.

Clicking on the '+' on the right allows you to add multiple conditions for who or what it applies to or doesn't apply to

Pro-Tips

  • You do not have to set 'Time off' for your typical weekly schedule, but rather use it for scheduled time off.

  • To only apply this interval to one person/resource, change 'Any resource' to that specific resource.

  • To apply this interval to everyone except one person/resource, or if a team member is not available for a particular service, click 'Add exception' and specify the condition for the exception.
