Using custom fields for team members

You can use custom fields to store extra information about team members that isn’t already covered by Bookem’s default fields. This helps you tailor the system to your practice’s needs and streamline your documentation.

How to add custom fields

Follow these steps:

  • Go to Settings > Team members

  • Click Custom fields

  • Select + Add field

  • Choose a field type from the list For example: use short text for a practice number or professional registration number

  • Click Add item and then Save

Common uses for custom fields

Here are a few examples of what custom fields are commonly used for:

  • Professional registration number

  • Practice number

  • Qualifications

These fields can be useful for practices that need to track registration details or include qualifications in client-facing documentation.

Using custom fields in documents and templates

Once you’ve added custom fields to your team members, you can pull them into:

  • Document templates – for example, include a team member’s registration number or qualifications at the bottom of a treatment summary or report

  • Letters or referrals – automatically insert relevant team member details without having to type them out manually

  • Clinical notes – where required, use these fields to personalise or standardise notes with professional credentials

To include a custom field in a document template, use the variable selector when editing the template. Custom fields will appear under the team member section in the list of available variables.
