How to delete, disable or replace a team member in Bookem

There are many reasons why you might want to remove a team member from your Bookem account. It’s important to understand the right way to do it depending on the situation.

We’ll walk through the most common scenarios and what actions to take.

Scenario A: A team member is going on leave

If a bookable team member is going on extended leave (e.g. maternity or paternity leave):

  • Disable bookings for them to avoid licensing fees

  • Do not revoke their login or delete them

Note: Disabling bookings hides their calendar and bookings. To view past bookings again, re-enable bookings (this will incur a prorated fee for the remainder of the month).

How to disable bookings:

In Settings > Team members, under the team member profile, toggle ' This team member can be booked' to OFF

Scenario B: A team member is leaving the practice

If a bookable team member is leaving the practice

  • Revoke their login to prevent access, but keep them visible

    OR

  • Delete them if you want to hide them from your view

How to do this:

In Settings > Team members, under the team member profile, click 'Revoke login' or 'Delete'

Scenario C: A receptionist is leaving the practice

  • Delete their team member profile

Scenario D: A bookable team member is temporarily being replaced

If a bookable team member is being temporarily replaced:

  • Revoke their login to block access, but keep them visible

    OR

  • Delete them to hide them from view

How to do this:

In Settings > Team members, under the team member profile, click 'Revoke login' or 'Delete'

Very important: before deleting or replacing a team member

  • Deleting a team member hides them from your view and blocks access, but their bookings remain intact

  • Revoking login blocks their access to Bookem but doesn’t disable bookings

  • A team member can be bookable even if they don’t log into Bookem

To fully prevent bookings, you must either:

  • Disable bookings (removes them from the online booking page)

  • Remove all associated services

Reminder: Disabling bookings is not the same as deleting a team member

Reusing an email address for a new team member?

If you’re reassigning an existing email address to a different person:

  • Update the Bookem password

  • Make sure the departing team member no longer has access to the email

  • Delete the departing team member’s profile first. Bookem doesn’t allow the same email to be used by two profiles.

How to remove a team member (step by step)

1. Go to Settings > Team members

2. Open the profile the team member you want to remove

3. Remove them from locations, groups and services they are associated with

4. Toggle This team member can be booked to OFF

6. Finally, choose to:

- Revoke login (block access but keep visible)

- Delete (hide and block access)

Question: Can I still access a team member's bookings after they've left?

Yes. Booking history remains safely stored in Bookem. You'll still see their bookings in a client's profile, even after the team member has been deleted.

Note: If you deleted a location linked to the team member, you must undelete the location to see those bookings in the calendar.
