How to set up complex availability for multiple team members and locations

Bookem supports complex availability setups to help you manage bookings across:

  • multiple locations

  • multiple team members

  • shared resources like pools, testing equipment and rooms

This ensures smooth operations and prevents double bookings.

Step 1: Check team member locations

For example:

  • Dr Jack Jones works in Sea Point

  • Dr Sara Thompson works in Rosebank and Sea Point

  • Dr Tami de Villiers works in Rosebank

Step 2: Check service settings

  • Go to Settings > Services

  • Make sure each service is connected to the correct team member, resource and location

In the example below: A procedure can only be booked with a specific doctor, in a specific room, at a specific location. If any part is unavailable, the service cannot be booked.

Step 4: Set team member availability per location

  • Go to Availability

  • For each team member, set their hours at each location

For example (for Rosebank location):

  • Dr Tami de Villiers: mornings on Monday and Wednesday, full day on Tuesday

  • Dr Sara Thompson: full day on Monday and Wednesday, not available on Tuesday

  • Procedure room: available all day, every day

⚠️ Important: You need to toggle between locations in the calendar to set availability for each one
