Templates can be set up for email or SMS, and you can create as many as you need for different situations or recipient types.

Where to find message templates

Go to Settings > Message templates.

All your templates are listed here.

How to create a message template

Follow these steps:

  1. Go to Settings > Message templates
  2. Open an existing template or click '+ New template' to create one
  3. Give the template a clear name so it is easy to identify
  4. Select the type: Email or SMS
  5. Write your subject line and message body. Type # to insert variables such as client first name, document name, invoice number, or business name. These populate automatically when the message is sent.
  6. Click Save.

How to use message templates with automations

When setting up an automation, you choose how the message is composed. There are two options:

  • Write inline - write a static message directly in the automation, or use the system default. This message is specific to the automation and is not reusable elsewhere.
  • Use template - select a saved message template. Templates can be reused across multiple automations and support additional variables such as document links.

Using a template keeps your messaging consistent and saves time, particularly where the same type of message is sent frequently.

For example:

  • Use a different template for an overdue invoice than for a paid invoice confirmation
  • Set up separate templates for messages sent to a client versus a medical aid
  • Create a specific template for a document sent to a referring doctor versus a client

Using templates when sending documents

When sending a document manually in Bookem, you can select a message template to pre-populate the accompanying message.

  1. Open the document you want to send
  2. Click 'Send'
  3. Select a message template from the list
  4. Review the message and click 'Send'

Note: if you only have one message template, it will be selected by default. A list will only be displayed if you have two or more message templates set up.
