All about reports

Reports show how your practice is performing, how your time is used, and how money flows. They provide a clear, practical view of your work and income without requiring accounting skills.

Reports are divided into three tabs, filtered by month and location:

  1. Overview
  2. Invoices
  3. Payments

⚠️ Note: Reports are only visible to team members with Admin rights

Overview

The Overview tab provides a monthly snapshot of your practice at a selected location for all or single team member, highlighting key details about your work, clients, income, and time.

Here, you can see:

  • Booking stats: Completed bookings vs. how many are coming up, number of new and returning clients have seen, and where your bookings came from; whether they were made online (external) or added by your team (internal).
  • Total monthly invoices: Broken down into open, paid, and total amounts. This helps you quickly understand your overall income position.
  • Time utilisation: The percentage of available hours that were booked, displayed per team member.
  • Booking trends: How many bookings or hours were spent on each service type during the month, either across the whole team or for a single team member.

Invoices

The Invoices tab is where you can find your aged receivables & credit report and where you can create reports by pulling data from your invoices.

In this tab, you can also build custom invoice reports to analyse your income in more detail.

Invoice reports can be filtered by:

  • Different date types; such as when an invoice was issued, when it is due, or the line item date
  • Filter by: location and date range
  • Invoice status: open or paid
  • Group results: at line item level using useful details such as invoice number, billing code, ICD-10 code, service description, team member, or line item type, including consumables, procedures, or stock.

Payments

The Payments tab displays received funds and allows you to generate custom reports with filters similar to the Invoices tab, simplifying tracking of payment details.

Payment reports can be filtered by:

  • Date type: payment date or line item date
  • Filter by: date range and location
  • Invoice status: open or paid
  • Group results: invoice number, payment method, payment notes, billing codes, ICD-10 codes, service descriptions, team members, or line item type.

This makes it easy to understand payment patterns, preferred payment methods, and who payments relate to.
