Document templates are one of the most powerful ways to save time, stay consistent, and reduce repetitive work in Bookem. Whether you're creating referral letters, sick notes, treatment plans, or progress notes, templates let you build once and reuse forever.
Templates can include formatted text, structured fields, variables that pull in client or booking details, and interactive elements like checklists or images. Best of all, your team can use them across appointments to keep documentation efficient and consistent.
π‘ Pro tip: If you find yourself copying and pasting the same text or layout into multiple documents, itβs time to create a template.
Follow these steps to create a new template
Go to Documents > Templates
Click + New template
Give your template a name
Click Create
Use the toolbar to add everything you need. Just like creating a document, you can include:
Type directly into the template β Add your core content or instructions
Format text β Use bold, italics, bullet points, headings, and more to structure your content
Insert variables β Automatically include client or booking details like name, date, diagnosis, or practitioner
Columns β Arrange content side-by-side
Tables β Great for structured info like measurements, observations, or schedules
Page breaks β Divide longer templates into clear, manageable sections
Horizontal lines β Use for visual separation of content
Checklists β Add tickable boxes for follow-up actions or symptom tracking
Drop-down lists β Create quick-select options for faster documentation
Diagrams and images β Add charts, body diagrams, or logos
File uploads β Attach supporting documents like scans, photos, or videos
Voice notes β Add voice recordings within the completed document
π― Tip: Templates can combine structure with flexibility. Leave blank areas for team members to type freely, or use prompts and labels to guide input.
Once your template is complete:
Click Save & close
Your template is now available to use in any new document
Team members can access it when creating a document from a booking
Below is an example of a prescription template, demonstrating the use of variables, a signature field, columns, and text formatting.
Need to make changes to a template youβve already created? No problem:
Go to Documents > Templates
Find and open the template you want to update
Make your changes β you can update text, add or remove fields, and insert new elements
Click Save & close to update the template
Changes will apply immediately for anyone using that template in future documents. Existing documents already created from that template will remain unchanged.
