Setting up client information on invoices

When generating an invoice, Bookem automatically includes the client’s name and address from their profile. Invoice templates come with preset client fields, allowing you to create medical aid-compliant invoices straight away. You can also customise your invoice template with additional client information.

How invoices pull client details

Invoices use client fields from client profiles, which are synced through form submissions. Ensure client forms include key invoicing fields so your team doesn’t need to enter data manually. When clients complete their forms, their details will automatically appear on invoices.

To ensure all necessary details are included in your invoices, follow these steps:

1. Set up client information fields in invoices

Use the # symbol to access a list of available variables and select the ones you need

Examples of variables

  • ID/ passport number

  • Date of birth

  • Medical aid name

  • Medical aid membership number

  • Medical aid plan

Controlling how fields appear

Adding a label followed by a colon (:) means that if a field is blank, the entire line will be omitted from the invoice.

For example:

Medical aid name: #medical aid name

Medical aid number: #medical aid number

Patient ID number: #ID/ passport number

If the medical aid name and medical aid number are blank, those lines won’t appear in the invoice

  • The first image below shows medical aid details when they are included.

  • The second image shows an invoice where those details are omitted because the fields were left blank
