Bookem currently supports packages, but not yet as elegantly as we plan to in the near future. You can, however, use our effective workaround method to offer packages to your clients.
This article outlines how to:
1. Set up line items for packages
2. Set up services for package session
3. Book packages
4. Invoice clients for service packages
Follow these steps:
1. Go to Settings > Payments & Invoicing > Line items > Edit columns
2. Click '+Add column'
3. Add a new line item type called 'Package'
4. Next, go to Settings > Payments & Invoicing > Line items
5. Click '+New line item' to create a new line item for the full package at the total price
6. Add a description and select the 'Package' under 'Type'
7. Click 'Save'
8. Now, go back to Settings > Payments & Invoicing > Line items
9. Click '+New line item' Add zero value line items for all line items associated with this service - this will allow you to keep track of every booking made for the package
10. Click 'Save'
Your line item setup is done. Now, follow the next step to set up a service.
Follow these steps:
1. Go to Settings > Services
2. Create a service for a single booking on the package
3. Ensure online bookings are toggled off
3. Your service setup is done. Now, follow the next step to generate an invoice.
1. We recommend that only team members manually book package sessions directly on their calendars
2. To reduce admin related to payments and invoicing, we recommend disabling online bookings for package sessions
Follow these steps:
1. Go to the client profile in Clients
2. Generate a full-package invoice reflecting the total price by navigating to the 'Accounts' tab
3. Add the the package line item to bill the client for the full package price
NB - Re billing and claims: It is imperative to communicate to the client that they can only submit their paid invoice with all line items once the full package has been used, to ensure medical aid reimburses the full amount.
4. Once the invoice for the full amount (paid or unpaid) is finalised, you can start booking single sessions for your client under the package - we recommend you make this a recurring booking
5. After each session, add the booking for the single service with zero value to the same invoice, until the full package has been used
This method allows you to track all the package bookings.
6. Lastly, ensure all line item dates match their respective booking dates
That's it. You're done - your package service is ready to go.
