How to send documents in Bookem

Bookem streamlines the creation and sharing of professional documents - from referral letters and prescriptions to reports, home programmes, and more. With fully customisable templates and auto - filled client and business information, sending polished, professional documents has never been easier.

Step 1: Create or open a document

You can create a new document directly from a booking or open an existing one.

To create a new document:

  1. Open the Calendar and click on the relevant client booking

  2. Click Documents > + New Document

  3. Select a template (e.g. referral letter, prescription, report, home programme), or start with a blank document

Alternatively, go to the client’s Documents tab and open an existing document to continue editing or send.

Step 2: Complete the document

Fill in any required details. If you’re using a template, many fields - like the client’s name, appointment date, or medical aid information - will be auto-populated using variables.

Once your document is ready, click ‘Create & send’ or ‘Save & send’ to finalise it and open the sharing options.

Alternatively, you can click the arrow icon in the top right corner of the screen to access sending options at any time.

Step 3: Choose a delivery method

You have several ways to send a document securely:

Send - email

  • The client’s email will be auto-filled, but you can enter a different address if needed

  • Multiple email addresses can be added

  • Recipients will receive a link that opens the PDF version of the document

  • A PDF file is also attached automatically for convenience

Send - SMS

  • The client’s cell phone number will be auto-filled

  • You can manually enter a different number if needed

  • Bookem supports one recipient per SMS (usually the client)

  • A secure link to the document is sent via SMS

Copy link

  • Click ‘Copy link’ to copy the secure document link to your device’s clipboard

  • You can then paste and share it via WhatsApp, email, SMS, or any other platform

⚠️ Note: Sharing a document this way will not be tracked or recorded in Bookem’s message history. If you'd like the message to appear in the Messages and the client's communication record, use the Email or SMS send options instead

Important note about shared links

When you share a document link, you're sharing the saved version of the document at that time.

🔁 If you make edits after sending or copying the link, the recipient will still see the original version.

To share updated content, simply repeat the Send steps above - Bookem will generate a new, updated link automatically.
